Establishing a CloudCME Account and Profile
All coordinators, speakers, attendees, and advisors must create a CloudCME account and profile. Faculty at the University of Florida must select the single sign on (SSO) option when creating a CloudCME account. Alumni or others who do not actively use their GatorLink account have the option to select the non-SSO option, “Sign in with your Email and Password”, to create an account using an external email address (such as Gmail or Yahoo). Please select the appropriate instruction guide below:
Completing Your Disclosure and Uploading Your Curriculum Vitae
Prerequisite: You must have an active profile in CloudCME. See the Establishing a CloudCME Account and Profile section above.
Curriculum Vitae (Submitted through CloudCME as a PDF)
- Upload your current curriculum vitae as a PDF.
- Your curriculum vitae can be updated and reuploaded at any time.
Disclosure Form (Electronic – Completed within CloudCME)
- Individuals who have the ability to influence and/or control the content of an ACPE accredited activity must disclose all financial relationships with all companies – whose primary business is producing, marketing, selling, re-selling, or distributing healthcare products used by or on patients – over the past 24 months.
- You can update the financial relationships listed on your disclosure form at any time.
- If any financial relationships are listed, our office will complete a conflict mitigation process. You will be notified if any additional tasks, such as a peer review, are required.
Tasks: Submission of the required materials listed above will be completed through the Faculty section of your CloudCME account. Each requested upload will be assigned as a “Task”. To view your assigned tasks, log in to your CloudCME account and click the Faculty tab located on the site banner.

- Global Tasks
- Global tasks are tasks that apply to all activities. You will not receive access to the RSS Dashboard (see the Using the RSS Dashboard section below) until these tasks are complete. Note that items associated with these tasks will expire (1 year from the date of upload) and an expiration date will be show.
- These tasks include upload of your curriculum vitae and completion of the disclosure form.

Using the RSS Dashboard
With CloudCME, RSS Coordinators (Owners) can manage the activity’s details, including topics, faculty, planners, presentations, and email communications within the RSS dashboard. If you would like to request RSS dashboard access for additional persons within your organization, you may contact our office.
Benefits of the RSS Dashboard:
- Centralized access to activity information, emailing, and approval features.
- Verification of presentations and documentation for upcoming RSS activities.
- Automatic assignment of disclosures to presenters members.
- Ability to generate activity flyers and export them as PDF or Word documents.
- Simplified communication via email with presenters.
Below is a short video that will explain the uses of the RSS dashboard as it pertains to coordinators. The use of the features provided within the RSS dashboard is optional. Our office will manage the input of and approval of presentation titles, dates, times, faculty, and files. With the RSS dashboard, you can choose to be involved in the management of your series or just keep informed. View the video transcript.
Accessing the RSS Dashboard: To access the RSS dashboard, first, log in to CloudCME. Scroll to the bottom of the page. To the right of the drop-down box, click “Administration”. From the NavBar, select “Activities”, then select “RSS Dashboard”.
RSS Dashboard Columns
Child Status: As the RSS child activity goes through the approval process, this column will continuously update the status to either incomplete, pending, in review, approved, or rejected. Hovering over the status icon will provide a detailed description of the status.
Details: This column will display the Series Name, the date and time of the child activity, Location, Department, Parent ID and Child ID. The Child ID is used to claim attendance.
Topic: This column displays the name of the RSS child activity as well as the option to edit, create a flyer, view recurrence settings, and deactivate the activity. We ask that you do not make any edits to the activity date, time, and texting minutes without first consulting our office.
QR: The Single Scan QR code is used to claim attendance and can be scanned by users logged in to the CloudCME mobile app. Coordinators, advisors, and presenters cannot use the QR code to claim attendance and instead must use the Child ID to claim attendance.
Planners: Coordinators will be able to email, view, add or remove planners, add roles, and export planning committee member information. The Disclosure and Disclosure Submitted date will also be viewable in this column.
Faculty: This column displays faculty assigned to the RSS child activity. RSS Coordinators can manage, email, and remove faculty members from this column. The disclosure status will display beneath each faculty name along with their disclosure submission date.
Presentation and COI Status: This column displays the faculty’s COI status, as well as icons to Upload, Download and Remove a faculty presentation as needed. Mitigation is performed by our office outside of the RSS dashboard, but the status icon will change as faculty go through the mitigation process. This icon is for informational purposes only.
Target Audience: This column displays the optional Specialties and Professions associated with the activity. These can be revised on the RSS child editor when the Pencil icon is selected.
Owners/Coordinators: This column displays the activity Owner and Coordinator names as well as the option to send an email. You may request RSS dashboard access for additional persons in your organization by contacting our office.
Comments: This column gives our office ability to add comments, which will populate into the comments pop-up window within the COI Mitigation Manager screen.
Approval: This column displays the approval status of the activity. Only our office has the ability to override and approve a child activity.
RSS Icons and Status Definitions
The following icons can be found in the Presentations & COI Status column:
Incomplete: This status represents faculty that have not been assigned to the activity, a presentation has no disclosure on file, or the disclosure on file has expired. RSS Coordinators/Owners will see Incomplete by default until Faculty are assigned and disclosures have been completed.
Pending: This status represents faculty who have completed a disclosure, and no financial relationships were declared, (i.e. no financial relationships were disclosed, or COI was mitigated).
In Review: This status represents Faculty who have a completed disclosure, and at least one financial relationship has been declared, triggering the COI Mitigation process. If one faculty member is rejected, and other faculty have been approved, the Activity Status will remain In Review .
Approved: This represents faculty who have completed a disclosure, no financial relationships are declared or, if identified, COI mitigation has been satisfactorily completed.
Rejected: This represents faculty who have completed a disclosure, a financial relationship has been declared, and the conflict is declared immitigable. The activity is then Rejected.
Upload: Uploads a presentation file for the faculty member.
Download: Downloads presentation file for the faculty member.
Delete: Deletes presentation file for the faculty member.
Providing Guidance to Presenters & Attendees
Our office has established a guidance page that may be provided to presentation speakers and attendees.
Peer Reviews
Peer review forms are no longer required for all presentations. Our office will review submitted slides and assign a presentation advisor to review the material if deemed necessary. If a peer review is assigned, the advisor and presenter will be notified by email.
Claiming Continuing Pharmacy Education Credit
Prerequisite: You must have an active profile in CloudCME. See Establishing a CloudCME Account and Profile.
Presenters: Presenters are required to claim attendance to receive continuing pharmacy education credit, but they are exempt from the activity evaluation.
RSS Coordinators (Owners) & Attendees: For RSS coordinators (owners) and attendees, completion of both components (claiming attendance and completing the activity evaluation) is required to earn continuing pharmacy education credit.
Attendance must be claimed within 72 hours of the presentation end. After 72 hours, the activity code used to claim attendance will expire.
To ensure feedback is provided to presenters in a timely manner, the activity evaluation must be completed within 7 days of the presentation end.
Presentation Feedback
After 7 days from the presentation end time, presenters and advisors will be provided the feedback dashboard via email. Charts will display along with corresponding tabular data below the chart.
Presenters who have not received a presentation feedback dashboard after 10 days should contact our office.
